1. Who we are

This Privacy Policy describes how Voolt Technologies Limited ("Agentez," "we," "us," or "our"), with registered address at 1122 International Blvd Suite 700, Burlington, Ontario, Canada L7L 6Z8, collects, uses, shares, and protects personal information when you use our website (www.agentez.com) and our AI-powered messaging service delivered through WhatsApp (the "Service").

We are the data controller for the personal information described in this policy.

This Privacy Policy should be read together with our Terms of Use.

2. What Agentez does (so you understand the data flows)

Agentez is an AI-powered assistant that helps small businesses create and manage their Google Business Profile, respond to reviews, schedule appointments, manage customers, and publish to social media. The Service is delivered primarily through WhatsApp using the WhatsApp Business Platform (operated by Meta Platforms Ireland Limited and WhatsApp LLC).

You are interacting with an AI agent, not a human. Our agent uses large language models and automated decision-making to respond to your messages. A human team member is available on request — reply "AGENT" or "HUMAN" at any time during a conversation, or email support@agentez.com.

3. Information we collect

3.1 Information you provide directly

  • Identity: name, business name, role
  • Contact: WhatsApp phone number, email address, business address
  • Business information: industry, services offered, hours, photos, descriptions, pricing
  • Customer relationship data you upload: customer names, contact info, appointment history (only when you use our CRM, Scheduling, or Invoicing agents)
  • Payment information: processed by our payment processor Stripe — we never see or store full card numbers
  • Content of messages you send to our WhatsApp agent

3.2 Information collected automatically

  • WhatsApp metadata: message timestamps, delivery status, message identifiers (provided by Meta via the WhatsApp Business Platform)
  • Website analytics: pages visited, time on page, referrer, approximate location (city-level), device type, browser, operating system — collected via Google Analytics 4 and Meta Pixel
  • Cookies and similar technologies: see Section 9
  • Server logs: IP address, request timestamps, error logs

3.3 Information from third parties

  • Google Business Profile data: if you authorize us to manage your Google Business Profile, we receive listing data, reviews, photos, and insights from Google via their official APIs
  • Meta / WhatsApp: profile name, profile photo, opt-in status

3.4 Information we do NOT collect

  • We do not collect Social Security numbers, government ID numbers, or full payment card numbers
  • We do not collect health information
  • We do not request or store passwords for your other accounts (Google, Meta, etc.) — we use OAuth/token-based authorization

4. How we use your information and our legal bases

We use personal information for the following purposes. Where applicable law requires a legal basis (GDPR, UK GDPR, LGPD), we identify it below.

Automated decision-making. Our AI agent makes automated decisions when generating Google Business Profile content, responding to reviews, and creating social media posts. These decisions do not produce legal or similarly significant effects on you. You can request human review by replying "AGENT" or contacting support@agentez.com.

5. How we use WhatsApp and what that means for your data

When you message Agentez on WhatsApp:

  • Your WhatsApp messages are delivered through Meta's WhatsApp Business Platform infrastructure. Meta's handling of your data is governed by WhatsApp's Privacy Policy and WhatsApp Business Terms.
  • We initiate WhatsApp conversations only when you have given clear opt-in (for example, by clicking "Add Your Business Now" on our website, by sending us the first message, or by explicitly confirming opt-in in a separate channel).
  • We use approved WhatsApp Message Templates for any message we initiate outside the 24-hour service window.
  • We respect WhatsApp users' opt-out, block, and report actions.

6. Who we share your information with

We do not sell or rent personal information. We share data with the following categories of recipients, under written agreements that require them to protect your data:

We do not share your customer data (data about your customers that you upload) with any third party except as needed to deliver the specific service you requested.

7. International data transfers

We may transfer your personal information to countries other than the one you live in, including the United States, the European Union, and Costa Rica. When we do, we use one or more of the following safeguards:

  • Standard Contractual Clauses approved by the European Commission and the UK ICO
  • Adequacy decisions where applicable
  • Your explicit consent for specific transfers

8. Your rights and choices

8.1 Universal rights

Regardless of where you live, you can:

  • Access the personal information we hold about you
  • Correct inaccurate information
  • Delete your account and data (subject to legal retention requirements)
  • Withdraw consent for marketing communications

To exercise these rights, email privacy@agentez.com or reply STOP in any WhatsApp message to opt out of further messages from Agentez.

8.2 If you are in the European Economic Area, United Kingdom, or Switzerland (GDPR / UK GDPR)

You also have the right to:

  • Restrict processing
  • Data portability (receive your data in machine-readable format)
  • Object to processing based on legitimate interests
  • Lodge a complaint with your local supervisory authority

8.3 If you are in California, USA (CCPA / CPRA)

You have the right to:

  • Know what personal information we collect, use, disclose, and sell or share
  • Delete your personal information
  • Correct inaccurate personal information
  • Opt out of the sale or sharing of personal information (we do not sell personal information)
  • Limit use and disclosure of sensitive personal information
  • Non-discrimination for exercising your rights

We do not knowingly sell personal information of consumers under 16. To exercise CCPA rights, email privacy@agentez.com or visit help.voolt.com.

8.4 If you are in Brazil (LGPD)

You have rights of confirmation, access, correction, anonymization, portability, deletion, information about sharing, and revocation of consent.

8.5 Opting out of WhatsApp messages

  • Reply STOP to opt out of all Agentez WhatsApp messages
  • Reply STOP MARKETING to opt out of marketing messages while keeping service messages
  • Reply HELP for assistance
  • Block Agentez in WhatsApp at any time

We honor all opt-out requests within 24 hours.

10. Data retention

We retain personal information only as long as needed:

After these periods we delete or anonymize the data, unless a longer retention is required by law.

11. Security

We use industry-standard safeguards including encryption in transit (TLS 1.2+) and at rest (AES-256), access controls, audit logging, regular vulnerability scanning, and employee training. No system is 100% secure. If we discover a personal data breach affecting you, we will notify you and applicable regulators without undue delay and within the timeframes required by law (e.g., 72 hours under GDPR).

12. Children's privacy

Agentez is intended for use by businesses, not individuals under 18. We do not knowingly collect personal information from children under 13 (or under 16 in the EEA / UK). If you believe we have collected such information, contact privacy@agentez.com and we will delete it.

13. Changes to this policy

We may update this Privacy Policy from time to time. When we make material changes, we will notify you by email, by an in-Service notice, or by updating the "Last updated" date and prominently posting the change. Your continued use of the Service after the change becomes effective means you accept the updated policy.
